DPA Board Meeting Minutes – December 8, 2014

DPA Board Meeting
May 19, 2014


The meeting was hosted by Karen and Mike Lowery at their home, and was called to order at 7:37PM by President Lisa Jacobs.

Board members present: Lisa Jacobs, President, Eric Macklin, 2nd Vice President, Jamie Pierce, Treasurer, John Darack, Secretary.

DPA members in attendance: Bob Smith, Karen Lowery, Mike Lowery, Judy Currier, Grace Olin, Mike Margosian.

  1. Lisa announced that the Newcomers Party was a success. It was attended by several new arrivals to our neighborhood.
  2. Judy and Karen suggested that DPA participate in the Wayland 375 Parade on Saturday, June 14. It will be a three mile route, beginning at Cochituate ballfield at 9:30AM. It was suggested that a truck, float or vintage convertible be utilized. Lisa will broadcast an email to solicit at least 12 participants. The decision to participate or not will be made in one week.
  3. It was decided that there is not enough time to prepare to participate in the Memorial Day parade.
  4. The new Eliot Pollack memorial bench at Mansion Beach seems to be getting a lot of use. It was suggested that it be formally dedicated at either the upcoming Ice Cream Social or at the Fun Run.
  5. Mike reported that there have been very few Milfoil plants observed so far this year, and that Alison has been able to pull all that have been seen. There is more phosphorous (“plant food”) than usual in the water this year, which likely will result in lots of plants later in the summer. Large algae blooms have been observed at various locations. Jenna Cutitta has joined the dive team this year. SWQC and DPW have begun cleaning storm drains and catch basins. They will also be mapping them, to create a record of their exact locations and configurations.
  6. Bob suggested changing the Fun Run route due to the deplorable condition of Lakeshore Drive. Mike requested that the DPA Board send a letter to BoPW requesting repairs.
  7. Karen reported on Fun Run progress. $1800 has been raised or pledged so far. One major sponsor and several contributing sponsors have come forward. Eric volunteered to solicit sponsorships from local businesses. The Flyer Folding Party will be on August 7. It would be appropriate to acquire new sandwich board signs, as our old ones are falling apart. Good quality new ones cost about $150 each. The consensus was that we should go ahead and buy them.
  8. Our website is based on obsolete technology that can no longer be supported, and needs to be replaced. Ferenc will continue to host it for only three more months. We must redesign it and find a new host and a new webmaster. This must be completed by the end of September.
  9. The Ice Cream Social will be Sunday, July 13.
  10. It was suggested that we have a social event in August, hopefully to include the Dirty Water Brass Band and a barbecue.
The next Board meeting will be Monday, June 16.The meeting was adjourned by President Lisa Jacobs at 9:15PM.

DPA Spring Membership Meeting
April 27, 2014


Officers in attendance: Bob Smith, Doron Almog, Wayne Kelley, Jamie Pierce. After determining that there was a quorum of members present, the meeting was called to order at 5:40pm.

Bob Smith asked for a volunteer to join the Board, preferably for President. He also mentioned that Lisa Jacobs has volunteered to run for President if someone volunteers to be Secretary. John Darack volunteered to be Secretary. The list of candidates were: Lisa Jacobs, President; Doron Almog, 1st VP; Eric Macklin, 2nd VP; John Darack, Secretary; Jamie Pierce, Treasurer. A vote on these candidates was held, and they were approved unanimously.

Bob Smith read the minutes of the Fall 2013 Membership Meeting. A motion to accept was made and seconded, and approved unanimously.

Jamie Pierce gave the Treasurer’s Report for the year 2013. The Association reimbursed the Town $9,952 for weed control activities. At the end of the year, the Operating Fund had a balance of $39,257, the Endowment Fund was $96,233 and the Milfoil Fund was $1,500. Jamie reminded the members of the purpose of the Milfoil Fund, which was created by a vote of the membership a number of years ago, so that people can donate solely to the Association’s weed control efforts.

Bob Smith discussed the need for a new web site this year. Doron has agreed to lead this effort, and asked if anyone else would be willing to volunteer.

Mike Lowery gave the WSWQC report. Not much has changed since his report last Fall. There are no plans to use herbicide in the Pond this season. They will be working on the storm water issue, assessing the catch basins on Simpson Rd. first, then hopefully around the Pond. A general discussion of public vs. private roads around the Pond ensued.

Karen Lowery talked about the 18th Annual DPA Run/Walk, to be held this year on September 21. She mentioned various ways that members can be part of this important fundraising event.

Jackie Ducharme, along with Tom Klem and Cheryl Kreinbring, reviewed the results of the Dudley Area Advisory Committee (DAAC) and subsequent votes on articles at this year’s town meeting. She thanked DPA members for their support during the DAAC process. She mentioned that possible next steps to improve the undeveloped land might include the building of hiking trails and improved access to the Pond via Rocky Point.

A question was asked if the Dirty Water Brass Band was planning to repeat their performance on a boat this year, and Jamie indicated that nothing was definite at this point. A request was made that the event be expanded, perhaps by adding a BBQ at Mansion Beach. The Board will address this at the next meeting.

A question was raised concerning a Pond Clean-up event this year. The Board will look into it at the next meeting.

Doron Almog thanked Bob Smith for his tenure as President and for all the work Bob has done for the DPA over the years.

DPA Board Meeting
April 21, 2014


Board members in attendance: Bob Smith, Jamie Pierce, Lisa Jacobs, Doron Almog and Wayne Kelley. Other DPA members: Grace Olin & Karen Lowery.

The meeting was called to order at 7:40 pm. The minutes from the 3/24 meeting were approved unanimously.

Board slate for Spring Meeting
Eric Macklin has agreed to be a VP. No one has stepped forward to be President. Bob Smith will bring this up at the meeting. Lisa Jacobs has agreed to be President for one year if we can get someone to replace her as secretary at the Spring Meeting.

DPA Website
Bob and Doron have been trying to find a new website host/developer. Bob will bring this up at the Spring meeting.

DPA Merchandise
Lynn Dowd has submitted a merchandise reorder and the board unanimously approved the expenditure. Because of the DPA’s 501c (3) status, we will sell the merchandise at cost.

Jamie’s report
Our D & O liability insurance will be renewed. The board unanimously approved the continuation of this policy but we will review it next year to see if we really need it going forward.

Elliot Pollak Plaque
Karen L. has found one online in bronze for $60. It will be small enough to fit on the top of the front side and will say “In Memory of Elliot Pollak, Friend of the Pond”

Fun Run update
Karen will start talking about the Sept. 21 Fun Run at the Spring meeting. Karen will also research getting new sandwich boards for the Fun Run.

New Business
Wayland 375 is sponsoring a parade in mid June and wants the DPA to participate. We will bring it up at the Spring meeting.

The Newcomers Pot Luck dinner is set for May 18 at the Poole/Green’s. 
The next meeting will be at the Lowery’s on May 19.

DPA Board Meeting
March 24, 2014


Board members in attendance: Bob Smith, Jamie Pierce, Lisa Jacobs, Doron Almog and Wayne Kelley. Other DPA members: Grace Olin, Karen Lowery & Jackie DuCharme.

The meeting was called to order at 7:50 pm. The minutes from the 2/17 meeting were read and approved unanimously.

DAAC/Town meeting articles

Jackie DuCharme reviewed the 3 articles that affect Dudley Pond that are coming up for a vote at the next town meeting. She will provide wording of the 3 articles and Lisa will send that to the membership. She thanked the board for helping get people to the town meeting to vote.

DPA Website

Bob Smith knows someone who can do pro bono work. Doron has contacts who will review our current website and provide an assessment. Our website has good content and pictures. We just need to update it and include pictures and bios of current board members.

Presidents message

Bob asked if anyone has stepped up to be President and VP for next year. Eric Macklin has agreed to fill the VP slot. We need to have a discussion with the membership about how to proceed if no one comes forward for president.

Jamie’s report

Our D & O liability insurance went up a bit. Bob will ask a fellow insurance agent if we need to have this policy at all.

Newsletter/Spring meeting

We have an article by Mike L., the President’s message, a chart showing safer alternatives to toxic household products, an article about the Fun Run, and a few pictures. We’ll also include a save the date for the newcomers pot luck party on May 18 at David Poole and Susan Green’s house. Lisa will alert the membership about the upcoming Spring meeting, and get the food permit. Wayne will buy all the food. The room is reserved until 7:30pm this time.

Fun Run update

Karen reported that we have a new main sponsor- Get in Shape with a $1K donation. We have platinum, gold & silver sponsors, and we had a discussion about including a Gold + sponsorship at the $300 level. We decided that having 4 categories is sufficient.

Karen also discussed the Mass Memories project that was held on March 8. There is a website that will contain all the pictures that were brought there.

New Business

We have been asked to change the date of the Fun Run from Sunday Sept. 21 to Sept. 28. We hesitate to change the date but will revisit this at the next meeting.

Karen L. agreed to research plaques for Elliot Pollak’s bench. Bob gave her some websites that make these plaques.

The Newcomers Pot Luck dinner is set for May 18 at the Poole/Green’s.

We are thinking about changing the Ice Cream Social to July, rather than Fathers Day.

The next meeting will be at Wayne Kelley’s on April 21.

DPA Board Meeting
February 17, 2014


Board members in attendance: Bob Smith, Jamie Pierce, Lisa Jacobs, Doron Almog, and Wayne Kelley. Other DPA members: Grace Olin, Jan Dunn, Jackie DuCharme, Steve Garone.

The meeting was called to order at 7:40pm.

Mass Memories

Jan Dunn presented an overview of the Mass Memories Project to be held at the Middle School from 10-2pm on March 8. Wayland residents can bring up to 3 photos for digitizing and to share their stories. Jan will get wording to Lisa who will send an email to the membership asking them to participate.

DAAC

Jackie DuCharme reviewed the findings of the DAAC committee and presented the 3 warrants for the town meeting that pertain to Dudley Woods & DAAC. Some DPA members want to see a distributed wastewater system built and hope that the vote at the town meeting will finally include that piece. As a 501(c)(3), we can't recommend an outcome to our membership -- we can only present the facts.

DPA Website

Jamie discussed the urgency of updating our website. Doron will look into our options, and check google docs and other directions for us to pursue. We have the funds to do this now.

New Business

The Spring Meeting and spaghetti dinner will be held on Sunday April 27, 2014.
The DPA Run/Walk will be held on Sunday Sept. 21.
Newcomers Pot Luck is tentatively set for May 18.  
Jamie is looking for content for the next newsletter ASAP.

Next meeting will be at Doron Almog's on March 24.
